Library Meeting Room Policy

Library meeting rooms are available for use by all organizations and free of charge at all library locations. Library meeting rooms may not be used for sales of merchandise, solicitation and nonlibrary fundraisers, or celebratory events.

Granting permission to use library facilities does not constitute endorsement by Dakota County.

No advertisement or announcement implying such endorsement is permitted. Please include the following statement on and/all promotional materials: “This event is not sponsored by Dakota County."

The Meeting Room Use Agreement outlines expectations for use of library meeting rooms.

Meeting Room Use Agreement

Library meeting rooms are available free of charge for nonprofit, for-profit and community organizations seeking to hold free meetings, trainings and workshops. 

In the interest of making meeting rooms available to many different users, the library will not accept reservations more than 90 days in advance. Users are limited to 10 active reservations. The library has the option to restrict the number of reservations.

Meeting rooms may be released for use by another organization if the initial group reserving the meeting space does not arrive within 30 minutes of the initial reservation.

Groups using the meeting room are responsible for setting up the room and for returning the room to the standard room arrangement.

The group reserving the room is responsible for any damage to the room or contents.

Refreshments may be served; no food may be cooked or prepared on site.

Library meeting rooms do not carry public performance rights or license. Copyrighted film or video cannot be shown in a library meeting room without this license.

Commercial programs listed or presented as informational, educational, or instructional must remain so, and presenters shall make no direct solicitation of attendees to secure clients or customers for their commercial purpose.

Collection of money as administrative fees for a program is not permitted except to defray the cost for educational purposes (e.g. handouts, certificates, CEUs, or equipment).

Library meeting rooms are not to be used for direct sale of products or services, gambling, games of chance, bingo or wagering of any kind.

Library meeting rooms are not to be used for celebratory events such as weddings, showers or birthdays.

Fundraising on Library property is prohibited except efforts benefitting Dakota County Library, such as activities by Friends groups or the DCL Foundation.

Activities in the room must not disrupt regular Library operations including, but not limited to, soliciting or conducting surveys, making loud noises, blocking entries, fire lanes or walkways, etc.

Activities involving the use of any firearms, live ammunition, or hazardous substances are not permitted. This restriction is not intended to preclude use of the facilities by law enforcement personnel in the normal scope of their duties.

Branch Management is authorized to establish reasonable regulations governing use of the meeting rooms. Any violations to this agreement will be addressed on a case by case basis.
